How it works

A system,
not a supplier.

Refreshment is a daily operational need. Availability matters, consistency is expected and downtime is not acceptable. So we run it on a system: every stage defined, every request recorded.

How it works

From first call
to every day after.

  1. Consultation

We visit, understand your headcount, shifts and spaces, and recommend machines and a menu.

    • Site visit and requirement mapping
    • Machine and menu recommendation
    • A written proposal: no verbal-only commitments
  2. Installation

We deliver, install and test the setup, then show your team how to use it.

    • Placement, power and water checks
    • Installation and testing
    • Handover walkthrough for users and admin
  3. Replenishment

Refills arrive on a plan matched to how much your team actually uses.

    • Consumables planned from usage
    • Refills recorded on every visit
    • Stock levels monitored, not guessed
  4. Servicing

Preventive checks and cleaning on a routine. Faults are logged and fixed.

    • Planned preventive maintenance
    • Cleaning as part of each service routine
    • Breakdowns logged, assigned and closed
  5. Ongoing management

Regular reporting and reviews, with one point of contact who knows your site.

    • Usage and service reporting
    • Periodic reviews of menu and capacity
    • One accountable point of contact

Life of a service request

If it is not recorded,
it is not done.

A refill, a cleaning visit or a breakdown all follow the same path. Nothing depends on someone remembering a phone call.

  1. Logged

Every request, from a refill to a breakdown, is entered into our system the moment it reaches us.

  2. Assigned

Our control desk assigns it to the right person on the operations team.

  3. Closed

The work is done and recorded. Nothing counts as done until it is recorded.

  4. Reported

Closed work feeds your usage and service reporting.

Our operating rules

  • No work without a system entry.
  • No verbal-only commitments.
  • If it is not recorded, it is not done.

On every visit

What a service
visit covers.

  • Refills & consumables

Premixes, beans, cups and stirrers replenished before they run out, planned around how much you use.

  • Preventive maintenance

Planned checks that catch wear early, so a small issue doesn't become a day without coffee.

  • Breakdown handling

Every fault is logged, assigned to a technician and tracked until it is closed.

  • Hygiene & cleaning

Machines and the station around them kept clean as part of the service routine.

  • Usage reporting

Consumption, refills, visits and issues in one record, so you can see what you pay for.

Who you deal with

Clear roles.
No crossed wires.

Each part of our team has one job. That is how commitments get kept.

  • Sales

Understands your needs, proposes the setup and hands over a clean, written order. Sales does not run your service.

  • Operations

Runs demos, installations, refills, maintenance and cleaning. Operations keeps your machines running.

  • Control desk

Logs every request, assigns the work, tracks it to closure and controls stock and dispatch.

Reporting

See what you
are paying for.

Closed requests feed a regular report: consumption, refills, visits and issues resolved. You get a record of the service you receive.
